The quick answer

Most comparisons of these two platforms lead with price and declare a winner. That advice is out of date. As of 2026, Microsoft 365 and Google Workspace cost essentially the same money at the tiers small businesses actually buy. So the honest answer is: the platform doesn't matter nearly as much as the fit between the platform and how your team works.

The Microsoft price change you should know about first

Before the comparison, one piece of timing that affects the math. Microsoft is raising Microsoft 365 business prices on July 1, 2026. If you're deciding now, this matters.

Business Basic goes from $6 to $7 per user per month. Business Standard goes from $12.50 to $14. Business Premium stays flat at $22. New purchases see the new prices starting July 1; existing customers see the increase at their next renewal after that date. Microsoft is also adding features to the lower tiers, including expanded mailbox storage and Copilot Chat enhancements.

The most interesting detail: the gap between Standard and Premium is shrinking, which makes Premium the better value than it used to be.

For a business choosing Microsoft, that narrowing gap is a real consideration. Premium adds meaningful security and device management for only $8 more per user than Standard once the new prices land. If you were going to pick Standard, it's worth a hard look at whether Premium is the smarter buy.

Plan-by-plan pricing

Here's how the business tiers line up, using annual-commitment per-user pricing (the way both vendors quote). Microsoft figures show the July 1, 2026 prices where they change.

The takeaway is plain: at Standard and the top business tier, the two platforms are priced identically. The only price edge is at the very entry level, and Microsoft's cheapest plan (Basic) gives you web-only apps, so it's not a true match for Google's Starter. Stop choosing on price. Choose on fit.

Where Microsoft 365 wins

Microsoft 365 is the right call for a large share of small businesses, and the reasons are concrete.

  • Excel and desktop Office. If your business runs on complex spreadsheets, macros, pivot tables, or Office add-ins, the desktop apps matter and Google Sheets will create friction. This is the single most common reason we steer a client to Microsoft.
  • Industry software built around Office. Accounting packages, legal software, insurance agency management systems, and medical tools are frequently built to export to Excel and integrate with Outlook. The Microsoft ecosystem reduces friction with these.
  • Compliance depth. For healthcare, financial services, and federal contracting, Microsoft's compliance tooling (data loss prevention, retention, eDiscovery) is more mature, especially at Business Premium.
  • Windows-centric environments. If your business runs on Windows PCs, the integration with Entra ID, Intune device management, and Defender is tighter and easier to manage as one stack.

Where Google Workspace wins

Workspace is the better fit for a different but equally real set of businesses.

  • Real-time collaboration. Multiple people editing one document at once has been Google's strength for years. For teams that work collaboratively all day, the experience is smoother than Microsoft's.
  • Simplicity and administration. Workspace is generally easier to administer for a small business without dedicated IT. Fewer overlapping products, a cleaner admin console, less to misconfigure.
  • Browser-first and mobile teams. Marketing shops, creative agencies, consultancies, and teams that barely touch a desktop app often find Workspace fits how they already work.
  • Gmail. If your team already lives in Gmail and Google's interface, the learning curve is near zero, and Google's spam filtering and search are excellent.

Compliance & security

Both platforms can be configured to meet HIPAA with a signed Business Associate Agreement, and both carry SOC 2 and the major certifications. The difference is depth. Microsoft 365 has the more mature compliance and security tooling, particularly at Business Premium, which bundles Defender, Intune, and identity controls that would otherwise be add-ons.

For a business in a regulated industry, that bundle is usually worth the Premium tier. For a business without heavy compliance obligations, Google Workspace's security is more than adequate and simpler to run. We configure the security properly on either platform; the question is how much built-in compliance machinery your business actually needs.

What if you pick wrong and want to switch later?

You can move from one to the other, but it's a real migration, not a setting you flip. Email, files, calendars, and contacts all have to be moved, permissions remapped, and your team retrained on a new interface. We do these migrations regularly and they go smoothly when planned properly, but they're enough work that you want to choose correctly up front.

The way to choose correctly is to decide based on a five-year view of how your team works, not just what's familiar this quarter. If you're genuinely torn, that's exactly the kind of call worth getting an outside opinion on before you commit dozens of users to a platform.
